Terms & Conditions

These terms govern bookings, cancellations, wait time, airport pickups, and safety for True North VIP chauffeur service.

1. Reservation & Confirmation

  • • All reservations must be confirmed in writing via email or our booking system.
  • • Reservations are subject to vehicle and chauffeur availability.
  • • We recommend booking at least 24 hours in advance to ensure availability, though we accommodate last-minute requests when possible.

2. Wait Time Policy

Complimentary wait time is provided as follows:

  • Airport arrivals (domestic): 60 minutes from actual flight arrival time
  • Airport arrivals (international): 90 minutes from actual flight arrival time
  • Point-to-point service: 15 minutes from scheduled pickup time
  • Hourly service: Wait time is included in the hourly service

Additional wait time beyond the complimentary period may incur additional charges.

3. Flight Tracking (Airport Transfers)

  • • We provide complimentary flight tracking for all airport transfer reservations.
  • • Your chauffeur's arrival time is automatically adjusted based on your actual flight arrival time.
  • • You must provide accurate flight information (airline, flight number) at the time of booking to enable flight tracking.

4. Cancellations & Changes

Cancellation fees are based on how far in advance you cancel:

  • 24+ hours before pickup: Full refund or credit
  • 12–24 hours before pickup: 50% cancellation fee
  • 2–12 hours before pickup: 75% cancellation fee
  • Less than 2 hours before pickup: 100% cancellation fee

Changes requested close to your scheduled pickup time may be treated as a cancellation and rescheduling, depending on feasibility and availability.

5. No-Show Policy

A no-show occurs when you are not available within the complimentary wait time period and have not contacted True North VIP to modify your reservation.

The full service amount is charged for no-shows.

6. Weather, Emergencies & Force Majeure

If severe weather, natural disasters, or emergencies make safe transportation impossible, True North VIP may cancel your reservation with a full refund and no penalty to either party.

We are not responsible for delays beyond our control, including traffic, weather, road closures, government or security delays, or airport closures. We make our best effort to communicate and coordinate during these situations.

7. Passenger Conduct & Safety

For the safety and comfort of all passengers and chauffeurs, the following are prohibited:

  • • Illegal drug use
  • • Smoking, including e-cigarettes and vaping
  • • Threatening, abusive, or disruptive behavior
  • • Intentional damage to the vehicle
  • • Illegal activity of any kind

We reserve the right to refuse or terminate service for safety reasons or misconduct. No refund will be provided if service is terminated due to passenger misconduct.

Additional safety requirements:

  • • Seatbelts must be used when available
  • • Passenger count may not exceed vehicle capacity
  • • Passengers must follow chauffeur safety instructions

8. Luggage & Belongings

  • • Luggage must fit within the capacity of your selected vehicle. Oversized items require advance notice.
  • • Hazardous materials are prohibited.
  • • Sports equipment (golf clubs, skis, bicycles) is accepted with advance notice.

You are responsible for your belongings. While True North VIP makes reasonable efforts to return lost items, we are not liable for lost, stolen, or damaged personal property.

9. Child Safety Seats

Child safety seats are available upon request and subject to availability. Seats must be requested at the time of booking.

We can provide:

  • • Infant seats (rear-facing)
  • • Convertible seats (rear-facing or forward-facing)
  • • Booster seats

When requesting a child seat, you must provide the child's age, weight, and height, and indicate your preferred configuration (rear-facing, forward-facing, or booster).

Child seats are installed and used in accordance with manufacturer instructions and applicable safety requirements.

The parent or guardian is responsible for confirming that the child is properly secured before travel begins.

10. Accessibility

  • • Service animals are always welcome.
  • • Accessible vehicles can be arranged upon request and are subject to availability. Advance notice is required.
  • • We are committed to accommodating accessibility needs whenever possible. Please contact us to discuss your requirements.

11. Payments, Tolls, Parking, Taxes & Gratuity

Payment:

  • • Payment is required at the time of service or within agreed corporate account terms.
  • • We accept major credit cards, cash, and corporate accounts.

Additional Fees:

  • Tolls: Passed through at cost
  • Parking fees: Your responsibility when the chauffeur must park
  • Airport and facility fees: Included in your quoted price when applicable
  • Fuel surcharges: May apply during periods of significant fuel price increases
  • Taxes: Applicable taxes are added where required by law
  • Service charges: May apply for special requests or accommodations

Gratuity: Gratuity is appreciated but not mandatory. Your chauffeur works hard to provide excellent service, and tips are always welcome.

12. Liability Limitations

True North VIP maintains commercial insurance and all required licenses and permits.

Our liability is limited to the amount you paid for the specific service at issue.

To the extent permitted by law, True North VIP is not liable for indirect or consequential damages, including missed flights, meetings, or events.

13. Governing Law

These Terms & Conditions are governed by the laws of the State of New York.

Any disputes arising from these terms or your use of True North VIP services shall be resolved in the courts of New York State.

14. Changes to These Terms

We may update these Terms & Conditions from time to time.

Updated terms will be posted on this page and apply to all reservations made after the effective date shown at the top of this page.
